Sharing projects, inviting people, what stays owner-only, and your profile and agent identity settings.
How do I share a project with a teammate who is already in my organization?
Sharing is done by the project's owner, and there are two ways in.
From anywhere in the app. Open the project's overflow menu in the sidebar and choose Share project. It opens the Project Members window straight away. If you are a member rather than the owner, that menu offers Leave project instead and no share item at all - ask the project owner to add the person.
From Project Home. The Members card is already open and lists everyone on the project. Choose Invite teammate in that card to open the same Project Members window.
Either way, finish in that window: choose Share with Teammate and pick an existing organization member.
An active member of your workspace can then use the project chat, documents, maps, and outputs. AI work they run draws on the shared workspace credit wallet, the same as your own - sharing a project adds no recurring charge.
The picker lists only members of your own organization, and a project holds at most four people including the owner - so you can share it with three teammates, and a fourth share is refused.
Sharing is not the same as inviting. Sharing adds an existing org member to one project, and the project owner does it. Inviting brings a new email into your organization, it is a workspace-owner action, and it gives them access to the shared credit wallet once they are active. Two different buttons read Invite teammate, so go by the surface you are on: the one in the Members card on Project Home shares this project, and the one in Account -> Organization invites into the workspace.
How do I invite a new person (new email) to my organization?
Org invites bring a brand-new email into your organization, and sending one is a workspace-owner action.
If you are not an owner, Account -> Organization shows the roster as a Member directory carrying a Read-only badge, with no invite control on it. Ask an owner to send the invite.
If you are an owner:
- Go to Account -> Organization and choose Invite teammate.
- Enter the new teammate's email and send the invite.
- They receive an email with an invite link. They click it, confirm, and sign in with that address.
Sending can succeed while the email does not: the app tells you the invite was created but could not be emailed. It is not lost - Pending invites lists everyone who has not joined yet, and Resend or Copy link there gets the link to them. Those are also what to use for an address that already has an invite waiting, which is refused rather than sent twice.
What access they get:
- Once they join and are active, they can use the shared workspace credit wallet - there is no separate license to assign.
- Adding a member adds no recurring charge. Your cost tracks the AI work the team runs, which you can inspect in Account -> Usage.
- Owners can suspend or remove a member from the Access roster at any time, which immediately ends their ability to spend credits.
Two separate limits apply to invites. Ten per minute are shared by everyone sending from the same network connection, so two owners in one office count against the same limit and further invites are refused until the minute rolls over. Separately, one organization can create 20 invites in any 24-hour window; past that an invite is refused with Too many invites today. Try again tomorrow.
The daily cap is the one that stops a bulk onboarding, not the per-minute one. If you need to bring on more than 20 people at once, contact info@precisiondocs.ai so we can plan the invites and your credit capacity together.
What can project members do, and what stays owner-only?
Shared members can collaborate inside the project, but ownership still matters.
Members can typically:
- Read the shared chat history
- Ask the agent questions
- See shared documents and outputs
- Leave the project if they no longer need access
Owners retain control over:
- Member management in Account -> Organization, which covers the Access roster and sending org invites
- Buying credits and configuring auto-refill in Account -> Billing
- Project-level destructive actions (deleting the project, removing other members)
- Zoning corrections - both the zoning edit on Project Home and the chat correction are owner-only, and an attempt by a member does not save
- Billing and payment-method decisions
Owners can suspend or remove a member without deleting that user's usage history. If a non-owner needs a structural change (zoning override, member removal, project rename), the owner should make it so the audit trail stays clear.
How do unread badges and collaborator message markers work?
Unread tracking is designed for shared projects so you can see what collaborators added since your last visit.
What you will see:
- Sidebar badges show projects with unread collaborator activity.
- An unread divider appears in the chat where new collaborator messages begin.
- Opening the project and letting streaming settle marks messages as read so badges clear automatically.
If you are not seeing a badge clear right away, give the page a moment to finish persisting the latest assistant response and read watermark.
How do I update my profile and agent settings?
Go to Account -> Profile to update both your professional profile and the agent identity settings.
Useful profile fields:
- Your title
- Company
- Areas of expertise
- Agent name, icon, role, and focus areas
Why it matters:
- Your professional profile helps the agent calibrate tone and technical depth
- The agent identity settings change how the assistant presents itself in project chat
- Replies from Email my agent are also signed with your agent name (not a generic team signature)
- In shared projects, member-specific agent identities help clarify who is speaking and how they are configured

What is an organization, and who can use its credits?
An organization groups users for shared billing, shared credits, and collaboration. Your organization is your workspace.
- Business users are grouped by email domain.
- Members share one credit wallet and can collaborate on shared projects.
- Personal-email users get an effectively private organization unless they join a shared project through an invite.
- Organization membership determines who appears in your member picker and who can spend workspace credits.
Granting access. An owner invites the person from Account -> Organization; members see that roster read-only. Once the invitee joins and is active, they can use the shared credit pool. Adding a member does not add a recurring charge - what your team spends is driven by the AI work it runs, not by headcount.
Removing or limiting access. Owners suspend or remove a member from the Access roster in Account -> Organization. A suspended or removed member immediately loses workspace access and can no longer spend credits. Their historical usage stays attached to them, so Account -> Usage stays accurate after someone leaves.
Limiting an integration rather than a person. A single API key can carry a daily and monthly credit cap so one connector cannot consume the whole wallet. See How should I handle PrecisionDocs API keys and connected apps safely? in API & Connectors.
